    商務(wù)信函的格式和范文(標(biāo)準(zhǔn)版)

    商務(wù)信函屬于商務(wù)禮儀文書范疇,是指企業(yè)與企業(yè)之間,在各種商務(wù)場合或商務(wù)往來過程中所使用的簡便書信。其主要作用是在商務(wù)活動中用來建立經(jīng)貿(mào)關(guān)系、傳遞商務(wù)信息、聯(lián)系商務(wù)事宜、溝通和洽商產(chǎn)銷;詢問和答復(fù)問題、處理具體交易事項。其種類包括聯(lián)系函、推銷函、訂購函、確認(rèn)函、索賠函等多種。

    文種特性

    〔一)語氣口語性

    每一封商務(wù)信函的往來都是不同的企業(yè)之間或者企業(yè)領(lǐng)導(dǎo)者彼此之間的一種情感交流。人都是感性的,所以商務(wù)信函更多地體現(xiàn)了感性的一面。而不是人們想象的商務(wù)信函應(yīng)該用一種特殊的生意腔,信函讀起來使人感到非常熱情、友好,就像朋友之間的談話那樣簡單、自然、人性化。無論是歉意的道歉函,還是善意的勸說函,或者購買函,完全可以通過信函中的語氣、語調(diào)來表現(xiàn)。

    (二)內(nèi)容直接性

    企業(yè)每天都要閱讀大量信函文件。商務(wù)信函不需要用華麗的詞句。所以,商務(wù)信函要寫得簡明扼要,短小精悍,切中要點(diǎn)。用簡潔樸實(shí)的語言來寫信函,使信函讀起來簡單、清楚、容易理解。當(dāng)涉及數(shù)據(jù)或者具體的信息時,如時間、地點(diǎn)、價格、貨號,等等,要用語精確,使交流的內(nèi)容更加清楚,這更有助于加快商務(wù)活動的進(jìn)程。

    (三)態(tài)度真誠性

    商務(wù)信函要能夠充分體現(xiàn)敏碼真誠、禮貌。不管說什么,都要帶著誠意去說。把寫好的商務(wù)信函拿起來讀一遍,確保如果此時對方正在電話中與你通話,他一定能夠感受到你的自然、真誠和禮貌。這里所說的禮貌,并不是簡單用一些禮貌用語,而是體現(xiàn)了一種為他人考慮,多體諒對方心情和處境的態(tài)度。

    (四)主旨單一性

    商務(wù)信函具有純粹的業(yè)務(wù)性,一般要求專文專事,內(nèi)容集中單一,圍繞公務(wù),突出主旨。

    (五)格式規(guī)范性

    商務(wù)信函結(jié)構(gòu)類似于一般的書信,有稱呼、有正文、有署名。外貿(mào)商務(wù)函、電的寫作則必須依照國際慣例,用英語或?qū)Ψ紾J所使用的語言書寫,在文法和書寫格式上也要符合對方的語言規(guī)范和習(xí)慣。

    (六)地位平等性

    商務(wù)信函是兩個平等法人之間的往來文書,反映雙方平等、互惠互利的關(guān)系。商務(wù)信函的寫作應(yīng)相互尊重,以禮相待。

    (七)要求時限性

    商務(wù)信函是在商務(wù)活動的每個環(huán)節(jié)中形成的,每封信函都是一定時限內(nèi)的雙方意愿的明確表達(dá)。因此,接收對方的信函后必須及時回復(fù)。目前,信函的傳遞越來越多地使用圖文傳真、電子郵件等快速傳遞形式,以適應(yīng)這一特點(diǎn)的需要。

    商務(wù)信函一般由三部分組成慧拿緩:信頭、正文、信尾。

    (一)信頭

    信頭即信函的開頭,由發(fā)信人名稱及地址、標(biāo)題、函號、稱謂、收信人地址和單位等組成。

    1發(fā)信人名稱及地址

    發(fā)信人名稱及地址一般寫明發(fā)信人企業(yè)單位名稱及詳細(xì)地址。還包括電話號碼、電報掛號、專用電碼、電傳、傳真、網(wǎng)址等商務(wù)聯(lián)系信息。

    2.標(biāo)題

    作為商務(wù)信函,它與一般的普通信件不同,只要不是企業(yè)單位個人與個人之間的交流,商務(wù)信函一般可以有標(biāo)題。標(biāo)題位置在信文首頁卜方,居中書寫,其內(nèi)容是標(biāo)明事由。事由要求概括出函件的主旨、中心,使收信人通過標(biāo)題就對信文的主要內(nèi)容有大致的了解。常見的商務(wù)信函標(biāo)題有以下兩種形式:

    (1)由事由加文種名稱函構(gòu)成,如關(guān)于要求承付打印機(jī)貨款的函、推銷函、訂購函、索賠函等。

    (2)先寫事由二字,加冒號提示,然后直接標(biāo)寫該信函的內(nèi)容,如事由:機(jī)動車索賠。

    3函號

    函號即編號,分為對方編號和己方編號。在外貿(mào)業(yè)務(wù)信函的信頭上注明編號,可保證信函便于管理和查閱。

    函號位置一般出現(xiàn)在標(biāo)題右下方或信頭的左上方。常見的有兩種形式:一是仿效行政公文發(fā)文字號的格式,采用x函〔xxxx〕x號或(xxxx) 函第x號的形式;二是采用直接編號的形式,如第x號。

    4稱謂

    稱謂是對收信人或收信單位的稱呼前模,一般寫受文者的尊稱,這是商務(wù)信函必須的一項。其位置一般在標(biāo)題或函號的左下方,單獨(dú)占行,頂格書寫,后面用冒號。書寫時有以下兩種稱謂:

    (1)泛指尊稱。尊敬的后加稱謂并加冒號,如尊敬的先生、尊敬的女士等。尊稱中可以使用職務(wù),如尊敬的`辦公室主任、尊敬的財務(wù)部部長、 尊敬的銷售部經(jīng)理等。

    (2)具體稱謂。即具體指名道姓的尊稱。在姓名后面加稱謂語。這類稱謂一般用于寫信人與收信人彼此認(rèn)識或者非常熟悉的情況。因?yàn)檫@種稱謂能夠體現(xiàn)寫信人與收信人之間的情感與密切關(guān)系。稱謂可用泛稱中的先生、女士等,也可以使用職務(wù),如尊敬的辦公室石主任、尊敬的財務(wù)部張部長、尊敬的銷售部王經(jīng)理等。

    5.收信人地址、單位

    收信人地址、單位要寫明收信人企業(yè)單位名稱及詳細(xì)地址。

    (二)正文

    正文是商務(wù)信函的主體,敘述商務(wù)往來聯(lián)系的實(shí)質(zhì)問題。正文寫作要求內(nèi)容單純,一文一事,文字簡明,事實(shí)有據(jù),行文禮貌。

    1問候語

    問候語也即應(yīng)酬語或客氣語。開頭的問候語是商務(wù)信函必不可少的,即發(fā)信人對收信人打招呼的禮貌問候語。一般用一兩句尊敬的客氣話表示,如您好,近來生意可好,效益頗高等。如果是初次聯(lián)系,可使用久仰大名,未親雅教等詞語。如果是回函,可使用惠書敬悉,不勝感激等詞語表示感謝來函。

    2主體

    主體是商務(wù)信函正文的核心內(nèi)容,是發(fā)信人要說明的事項。不同的商務(wù)信函的內(nèi)容是不同的。一般包括以下兩個內(nèi)容:

    (l說明發(fā)函緣由。直截了當(dāng)、簡明扼要地說明發(fā)函的目的、根據(jù)、原因等內(nèi)容;復(fù)函則要引敘對方來函要點(diǎn),以示復(fù)函的針對性。

    (2)說明發(fā)函事項。主體表達(dá)信函的中心內(nèi)容,一般是根據(jù)發(fā)函緣由詳細(xì)地陳述具體事項,或是針對所要商洽的問題或聯(lián)系事項,闡明自己的意見。要求語氣要平和,問題要明確,事實(shí)要清楚,表達(dá)要明白。如商洽函的正文主體包括商洽緣由、商洽內(nèi)容、意愿要求三部分;詢問函的正文主體包括詢問緣由、詢問事項兩部分;答復(fù)函的正文主體包括答復(fù)緣由、答復(fù)內(nèi)容兩部分;商品報價函的正文主體包括產(chǎn)品的價格、結(jié)算方式、發(fā)貨期、產(chǎn)品規(guī)格、可供數(shù)量、產(chǎn)品包裝、運(yùn)輸方式等。

    如果正文主體內(nèi)容簡單,邏輯上可采用篇、段合一式結(jié)構(gòu),如果正文主體內(nèi)容較多,邏輯上可采用分段式結(jié)構(gòu)。

    3結(jié)尾語

    正文結(jié)束以后,一般用精練的語言將主體所敘之事加以簡單概括,并提出本函的有關(guān)要求,強(qiáng)調(diào)發(fā)函的日的。如請求函的結(jié)尾語是拜托之事,承望協(xié)助解決為盼,希望回函的結(jié)尾語是不吝賜函,靜候佳音等。結(jié)尾語視發(fā)信人與收信人的關(guān)系以及信函的內(nèi)容而定,要求恰當(dāng)?shù)皿w。

    (三)信尾

    信尾部分包括四部分內(nèi)容。

    1祝頌語

    所有的商務(wù)信函都要寫明祝頌語。祝頌語分為祝者自身的請候語和收信人的安好語兩部分:

    (1)請候語,在正文結(jié)束后空兩格書寫。常用的有敬祝、順頌、恭祝等。

    (2)安好語,一定另起一行頂格書寫,以表示對對方的尊重。常用的安好語有商棋、金安、生意興隆等。

    2簽署

    簽署即發(fā)信人的署名或簽名、用印。商務(wù)信函的署名可根據(jù)企業(yè)的要求或發(fā)信人的意見而定。有的企業(yè)署名以單位名稱加蓋印章的方式;有的企業(yè)要求發(fā)信人直接簽名,以示對信函的內(nèi)容負(fù)責(zé)。個人簽名一定要由發(fā)信人親手所簽。

    3日期

    日期一般是發(fā)信具體時間。商務(wù)信函因?yàn)樯婕吧虅?wù)業(yè)務(wù)往來,務(wù)必寫明發(fā)信日期。一般采用以下三種形式:

    (1)公文日期形式。即在信函簽署下方用漢字小寫寫明發(fā)信日期,如xxxx年八月十八日。

    (2)阿拉伯?dāng)?shù)字形式。即在信函簽署下方用阿拉伯?dāng)?shù)字寫明發(fā)信日期,如2008 年8月18日。

    (3)國際標(biāo)準(zhǔn)簡寫法形式。即在信函簽署下方用阿拉伯?dāng)?shù)字標(biāo)記年、月、日,在一位數(shù)的月、日前加0,如2008年08月18日。

    無論哪種寫法,日期務(wù)必寫全,以便存檔備查。如2008年08月08日,不能寫成08年08月08日。

    4附件

    附件是隨函附發(fā)的有關(guān)材料,如報價單、發(fā)票、確認(rèn)書、單據(jù)等。如果需要標(biāo)注附件的,在信函簽署的下方可以標(biāo)注附件。如果附件是兩個以上的,要分別標(biāo)注附件一、附件二等。
