Further to our conversation of 30 March, I am writing to outline the proposed programme for your visit to our offices (12-15 April).
On Thursday morning I will be at the airport to meet your flight and, assuming there are no delays, I will take you straight to your hotel so that you can check in and freshen up. As Mr Wilkins wishes to see you before the meeting, a business lunch has been arranged. We will then travel to the company in time for the meeting, scheduled to run from 14.30 to 18.00. 1、信頭 The heading
信頭就是指書(shū)信中發(fā)信人的地址和發(fā)信的日期等。
通常情況下,公司都會(huì)專門印制帶有信頭的信箋紙,包括發(fā)信人的姓名,地址,電話,傳真等。當(dāng)我們撰寫傳統(tǒng)信件時(shí),直接使用這種信箋紙就可以。
2、編號(hào)(寫信人的名字縮寫)和日期 The sender name and the date
這部分內(nèi)容是為了方便今后查詢信件用的。
3、封內(nèi)地址 The inside address
這里就是指收信人的姓名和地址,一般寫在信箋的左上方。收信人名稱地址的格式和信頭的空配格式相同,但必須把收信人的姓名一并寫出。另外,如果不是完全公事化的書(shū)信往來(lái),或者已經(jīng)從公事的關(guān)系漸漸發(fā)展成為帶有私人性質(zhì)的友好信件往來(lái),由于稱呼這一欄的內(nèi)容已經(jīng)說(shuō)明了收信人的身份,所以可以不必填寫封內(nèi)地址。
4、事由 The subject heading
事由也就是我們通常說(shuō)的主題,可以直接寫明信件的重點(diǎn),讓人不必讀完全信才了解到信的內(nèi)容。所以事由要寫得簡(jiǎn)明扼要。
5、稱呼 The salutation
指對(duì)收信人的一種稱呼。
較常使用的有Dear Sirs, Dear Madam, Dear Mr. XX,。稱呼后面的標(biāo)點(diǎn),一般使用逗號(hào)。稱呼里的第一個(gè)字母要大寫。
6、開(kāi)頭語(yǔ) The open sentences
開(kāi)頭語(yǔ)沒(méi)有統(tǒng)一的格式,但習(xí)慣上先用客套的語(yǔ)句把收到對(duì)方來(lái)信的日期,主題及簡(jiǎn)單內(nèi)容加以綜合敘述,使對(duì)方吵鎮(zhèn)一目了然這是答復(fù)哪一封去信的。如果是第一次通信,也可以利用開(kāi)頭語(yǔ)作必要的自我介紹,并表明目的要求。開(kāi)頭語(yǔ)一般與正文分開(kāi),自成一節(jié),要求簡(jiǎn)單明了。
7、正文 The body of the letter
信的主升虧粗體。一封信件的優(yōu)劣,完全要看正文寫的好或壞。我們會(huì)在后面繼續(xù)討論寫作商務(wù)信函的一些技巧、規(guī)則。
8、結(jié)尾語(yǔ) The complimentary close
結(jié)尾語(yǔ)一般用來(lái)總結(jié)文本所談的事項(xiàng),提示對(duì)收信人的要求,如“希望來(lái)信來(lái)函定貨”,“答復(fù)詢問(wèn)”等,另外也附加一些略帶客套的語(yǔ)氣。正文結(jié)束后,另起一段寫結(jié)尾語(yǔ)。
9、結(jié)束語(yǔ) The complimentary close
結(jié)束語(yǔ)是結(jié)束信函時(shí)的一種客套,應(yīng)該與前面的稱呼相呼應(yīng)。例如:“Sincerely,” “Best Regards, ”or “Yours Truly,”. 結(jié)束語(yǔ)寫在結(jié)尾語(yǔ)下隔一行,只有第一個(gè)字母大寫,后面加逗號(hào)。
10、簽名 The signatrue
寫在結(jié)束語(yǔ)的下面,簽上寫信人的名字。如果是傳統(tǒng)的信件,寫信人最好親筆簽上您的名字,因?yàn)橛糜≌碌脑?,說(shuō)明該信件并非本人親自過(guò)目,只是通函而已,不為人重視。簽名的下面,最好寫上發(fā)信人的職位。
11、附件 Enclosure
如果信中有附件,應(yīng)在左下角注明Encl. 或Enc.。
